Children’s Party Planning Tips
Planning a children’s party is an exciting adventure, but with so many details to consider, it can feel overwhelming. At Professor Rainbows, we’ve been helping families create magical celebrations for over 40 years, so we know exactly what makes a party stress-free and full of fun.
Here are our top tips to help you plan the perfect event!
Choose the right date
Before sending out invites, check for clashes with school fairs, other birthday parties, public holidays, or big sporting events. You don’t want to plan the perfect party only to find out half the guests can’t make it!
Picking a venue
A party at home can be wonderful, but be prepared—20 excited children running around can put your furniture to the test! If you have space, don’t mind a little mess, and have understanding neighbors, a home party can be a great option. Just remember to reserve a nearby parking spot for your entertainer—they’ll have equipment to unload, and a long walk could delay your party.
Hiring a village hall or local venue with a kitchen, heating, and plenty of parking can make for a stress-free experience. You can invite more guests without feeling crowded, and many halls offer set-up and clean-up time—be sure to ask when booking!
Keep it short & sweet
A 2-hour party is the perfect length for children aged 3 to 10. Too many parties fizzle out because they go on for too long—keeping the energy high within a shorter window ensures maximum fun for everyone.
Make sure there are enough adults around
At least one adult should always be in the room to assist children who may need help—whether it’s a trip to the bathroom or simply some reassurance. This is also important for child safeguarding and supervision.
Consider a joint birthday party
Sharing the celebration with a friend is a great way to split the costs of venue hire, food, and entertainment. Plus, your child gets to celebrate with their closest friends—it’s a win-win!
Hire professional entertainment
Let’s face it—kids remember the entertainment above all else. They might forget the snacks or the decorations, but they’ll never forget an amazing magic show, hilarious puppets, or a lively disco! See our entertainment options here.
A professional entertainer not only keeps the kids engaged but also reduces stress for parents. A trusted professional will offer advice, help structure your party, and even provide backup if they fall ill—something that can’t be guaranteed with casual bookings. Always check that your entertainer has public liability insurance for extra peace of mind.
Decorate the venue for easy navigation
Make it easy for your guests to find the party by placing balloons outside your home or venue. This also helps entertainers spot your location quickly so they can set up without delays.
Have a designated gift table
While children love opening presents, unwrapping them mid-party can lead to missing parts, breakages, or upset guests. Set up a gift table where presents can be placed upon arrival, then let your child open them later at home.
Pass on pass-the-parcel
Pass-the-parcel is a traditional and much-loved party game, but it can be tricky to manage. Keeping a room full of children engaged while timing the game perfectly to match the shifting energy levels of a party takes real skill! Instead, consider alternative games that are easier to control and keep the excitement going without distractions.
Keep the food simple & kid-friendly
Stick to easy-to-eat party food like sandwiches, fruit, mini pizzas, and cupcakes. If any of your guests have dietary restrictions, be sure to plan ahead so everyone is included.
